What we collect and how we look after it
This policy explains how Rollout Awning Co. handles personal information when you request a site visit, ask for a quote or have awning work carried out. Last updated 1 March 2025.
1. Who we are
Rollout Awning Co. (ABN 41 882 610 337) carries out mobile caravan awning repair and replacement for campers in Sydney holiday parks. Our workshop and postal address is Moncur Street 1, 2025 Sydney, New South Wales. You can reach us on 40732497097 or at jobs@rolloutawning.online. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
2. The information we collect
We only collect what we need to quote and complete awning work. That is usually your name, phone number, email address, the holiday park and site number where your van is parked, your caravan make, model and awning measurements, a description of the damage, and the payment record for the job. If you send us a message through the site visit form, we also receive whatever you choose to write in that message.
We do not collect sensitive information, we do not ask for identity documents, and we do not store full card numbers. Card payments on site are processed through our payment provider’s terminal; we keep only the receipt reference.
3. How we collect it
Information is collected directly from you when you telephone us, email us, submit the site visit form, speak to our technician at your van, or pay for a job. In some cases a holiday park manager may pass on your name, site number and contact number after storm damage. If we receive information about you in that way and you did not expect it, tell us and we will confirm with you before going any further.
4. Why we use it
We use your information to respond to enquiries, prepare quotes, order the correct fabric and hardware, schedule the run to your park, complete the repair, issue invoices and warranty records, and follow up on workmanship within the 12-month warranty period. We may also contact you once before the summer season with a reminder about pre-season awning servicing. You can opt out of that reminder at any time by replying or by ringing us.
5. Who we disclose it to
We do not sell or rent personal information. We disclose limited details only where it is necessary to do the job: to fabric and hardware suppliers (measurements and order details, not your contact list), to a holiday park office where the park requires notice of contractor attendance at a site, to our accountant and payment provider for invoicing, and to our IT and email providers who host our systems. Where a provider stores data outside Australia, we take reasonable steps to ensure comparable protection applies.
We may also disclose information where we are required or authorised to do so by law.
6. Storage and security
Job records are kept in a password-protected job management system and in paper quote books stored at the Moncur Street workshop. Access is limited to the owner and the technicians who need it. We keep job and tax records for seven years as required by Australian record-keeping rules, then destroy or de-identify them. Enquiries that do not proceed to a job are deleted within 12 months.
7. Website, cookies and analytics
This website is deliberately simple. It sets no advertising or tracking cookies and runs no third-party advertising scripts. Our web host records standard server logs (IP address, browser type, pages requested, time of request) for security and troubleshooting, retained for 30 days. The site loads a web font from Google Fonts, which means your browser makes a request to that service; no form data is shared with it. Links to our Facebook, Instagram and YouTube pages take you to third-party platforms with their own privacy policies.
8. Access and correction
You can ask us for a copy of the personal information we hold about you, and ask us to correct anything that is wrong or out of date. Ring 40732497097 or email jobs@rolloutawning.online. We normally respond within 14 days and will not charge you for a straightforward request. We may ask a couple of questions to confirm your identity before releasing records.
9. Complaints
If you believe we have mishandled your personal information, contact us first and we will investigate and reply in writing, generally within 30 days. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
10. Changes to this policy
We may update this policy as our business or systems change. The current version is always published on this page with the date of the last update shown above. Material changes affecting existing customers will be noted in writing with your next quote or invoice.
